“Is it NFC or RFID?” We are asked this every week. The confusion is understandable: both are radio-frequency identification technologies, but they operate at very different frequencies, ranges and use cases. In this article, we explain the five differences that matter when choosing an access control system and why the right answer is almost never “one or the other”, but “both, each in its proper place”.

The conceptual difference in one sentence

RFID is the family: it covers all forms of radio identification. NFC is a specific type of RFID: it operates at 13.56 MHz over a very short range (less than 10 cm) and supports secure two-way communication. This is why it underpins contactless payments and many modern access cards.

NFC vs RFID comparison

The 5 technical differences that matter

1. Frequency and reading range

NFC: 13.56 MHz · maximum range of approximately 10 cm · designed for very short-range interaction.

RFID HF (Mifare, NFC): 13.56 MHz · range from 1 cm to 1 m, depending on the antenna.

RFID LF (125 kHz – EM, Temic, HID Prox): up to 1 m, simple readers and widely used in legacy systems.

RFID UHF (860–960 MHz): range from 3 to 15 m, depending on the antenna; used for inventory and traceability.

2. Security and encryption

NFC and RFID HF support robust encryption (AES, 3DES, Mifare DESFire EV2), enabling cards that are extremely difficult to clone. Basic RFID LF technology (HID Prox 125 kHz) is vulnerable to cloning with inexpensive devices, which is why new projects are moving towards HF/UHF.

3. Memory and data capacity

NFC cards can store several kilobytes of structured data, such as credentials, encrypted biometric data and an electronic wallet. LF cards store only an ID. This difference makes it possible to use NFC for access, payments and transport on a single card.

4. Mobile device use

Only NFC allows a mobile phone to be used as a credential through services such as Apple Wallet, Google Wallet and digital car or building keys. RFID UHF and LF cannot be accessed from a standard smartphone.

5. Cost and ecosystem

LF cards are cheaper and remain suitable for legacy systems. NFC cards cost slightly more but offer stronger security, multiple functions and a longer service life. UHF tags are inexpensive (€0.10–€0.30) and are used for pallets, assets and clothing.

Summary table: NFC vs RFID

Feature

NFC

RFID HF (13.56 MHz)

RFID LF (125 kHz)

RFID UHF (860–960 MHz)

Frequency

13.56 MHz

13.56 MHz

125–134 kHz

860–960 MHz

Typical range

< 10 cm

1 cm – 1 m

Up to 1 m

3 – 15 m

Encryption

Yes (AES)

Yes (DESFire EV2)

Basic / vulnerable

Optional

Memory

High (several KB)

Medium

ID only

Medium (EPC + data)

Mobile compatible

Yes

Limited

No

No

Typical use

Access + payments

Secure access

Legacy access

Inventory, pallets

When should each technology be used for access control?

NFC / RFID HF (13.56 MHz) is the default choice for new projects because it offers cryptographic security, electronic-wallet capabilities, mobile compatibility and manageable obsolescence. We recommend Mifare DESFire EV2 as the de facto standard for businesses.

RFID LF (125 kHz) should be retained only in legacy systems where thousands of cards have already been issued. Migrating to 13.56 MHz often recovers its cost in less than 18 months by reducing incidents.

RFID UHF does not compete with NFC for personal access control. It is designed to read tags at a distance, such as pallets, assets and clothing in shops. It is often combined with NFC in advanced logistics projects.

Frequently asked questions about NFC and RFID

Are NFC and RFID the same?

No. NFC is a specific technology within the RFID family. RFID covers all forms of radio identification, including LF, HF, UHF and microwave. NFC always operates at 13.56 MHz and over a very short range.

Can I use my phone as an access card?

Yes, but only with NFC technology. Most current smartphones support NFC and can store digital access credentials in Apple Wallet or Google Wallet. You need an up-to-date NFC reader and a system that can issue mobile credentials.

Are 125 kHz RFID cards secure?

Basic versions such as HID Prox and EM4100 are vulnerable to cloning. Encrypted versions such as HID iClass are available, but they cost more. The current industry recommendation is to migrate to Mifare DESFire EV2 (13.56 MHz) for any new project.

Which RFID card should I buy for my company?

If you are starting from scratch, choose Mifare DESFire EV2 (13.56 MHz) in PVC or biodegradable material. If you already have an LF system and many users, consider a gradual migration with dual-technology readers that accept both types of card during the transition.

How can I test NFC and RFID before buying?

Qualica-RD can send you a sample kit with several card models (Mifare, Temic and UHF) and compatible readers. Request one with no obligation and we will help you validate the technology before deployment.

Next step

Not sure which technology fits your access system? Qualica-RD’s Automatic Identification Systems specialists can give you data-driven advice. We analyse your current installation, user volume and use case, then recommend the combination of technologies with the best balance of cost, security and service life.
An industrial ruggedized terminal is not a “reinforced” mobile phone: it is a professional tool designed to work full shifts in environments where dust, water, bumps, and falls are part of everyday life. At Qualica-RD we have been advising logistics, warehouse, delivery, and field companies for years on which model to choose based on actual use, not on the technical spec sheet. This guide includes the criteria we apply: it falls, gets wet, gets dirty, and keeps working.

What is an industrial ruggedized terminal (and what it is not)

A ruggedized terminal is a handheld or tablet-type device, with Android operating system, that integrates in a single device: 1D/2D barcode scanner, interchangeable battery, 4G/5G/Wi-Fi/Bluetooth connectivity and, depending on the model, UHF RFID, NFC, fingerprint reader or industrial camera.

It is not:

An “outdoor” mobile with a case. The real IP certification requires factory sealing.

An old PDA with Windows CE. We are talking about Android 10/12/14 with an open SDK.

A pure scanner. The advantage of the terminal is to unify capture + computing + connectivity in a single device.

How to choose a ruggedized terminal

The 7 criteria that we apply to recommend a model

Not all terminals are suitable for everything. These are the seven criteria we use with our clients:

1. Type of code to read

Does your operation read only 1D codes (EAN, Code 128) or also 2D (QR, Data Matrix, PDF417)? Most current models read both, but it is advisable to confirm it. For reading damaged codes or those printed on a mobile screen, the 2D imager module is mandatory.

2. Distance and reading conditions

On shelves at 1.5 m, a standard imager is sufficient. If you work with pallets at 6-8 m, you need long-range UHF RFID. If you combine both, look for dual models like the Qualica-RD range RD 50, RD 60, RD 72 or RD R6.

3. Physical environment: IP, drops, temperature

IP certification is the most misleading piece of data. IP65 = protected against dust and water jets (suitable for warehouse). IP67 = brief immersion (construction site, outdoors, cold storage room with condensation). Also ask for drop rating: 1.2 m, 1.5 m or 1.8 m onto concrete. And operating temperature range: a terminal working in a cold storage at -10 °C is not the same as one in a warehouse at 25 °C.

4. Autonomy and battery management

What defines a bottleneck-free operation is the battery. Models with hot-swap battery (replaceable without powering off) such as RD 60, RD 70, RD 71, RD 72, and RD 75 cover shifts of 10-14 hours without interruptions. Tablets (RD 80, RD 100) typically last 8-10 hours with fast charging.

5. Operating system and SDK

Android 10/12/14 with open SDK and FOTA update support for 3-5 years. This prevents the device from becoming obsolete due to Google updates and allows you to integrate it with your ERP or WMS with total freedom.

6. Real connectivity (not just “Wi-Fi”)

Wi-Fi must support fast roaming between APs (802.11r/k/v) if the site is large. 4G/5G for mobile fleets. Bluetooth 5.0+ for accessories (printers, readers). USB-C with OTG for charging and data.

7. Ergonomics and intensive use

Weight, grip with glove, scan trigger, sunlight-readable screen, fog resistance. Ergonomics is invisible in the technical data sheet but accounts for 80% of returns.

Comparison of the Qualica-RD range for industrial use

Model

Format

Codes

RFID/NFC

IP / drop

Ideal for

RD 100 Tablet 5G

Industrial tablet

1D + 2D

Optional

IP65 / 1.2 m

Field, 5G fleets, visual inspections

RD 80 Tablet

Industrial tablet

1D + 2D

Optional

IP65 / 1.2 m

Warehouse, on-screen forms

RD 50

Compact handheld

1D + 2D

UHF + NFC

IP65 / 1.5 m

Logistics, mobile retail, intensive picking

RD 60

Handheld with trigger

1D + 2D

UHF + NFC

IP65 / 1.5 m

Field operator, intensive warehouse

RD 61

Handheld with physical keyboard

1D + 2D

UHF + NFC

IP65 / 1.5 m

Operator wearing gloves, intensive data entry

RD 70

Bio handheld (iris)

1D + 2D

RFID 13.56 MHz + NFC + iris

IP65–IP67 / 1.5 m

Biometric identification + scanner

RD 70 T

Bio handheld + temperature

1D + 2D

UHF + NFC

IP65 / 1.5 m

Healthcare, food, temperature control

RD 71

Multi-bio handheld

1D + 2D

UHF + NFC + fingerprint + iris + SAM

IP65–IP67 / 1.5 m

Secure identification (SAM modules)

RD 72

Long-range handheld

1D + 2D

Long-range UHF

IP65 / 1.5 m

Contactless tag reading, shelving

RD 75

Handheld with printer

1D + 2D

UHF + NFC

IP65 / 1.5 m

Tickets, labels, proof of delivery

RD 600 Transport tablet

Anti-vibration tablet

1D + 2D

Optional

IP65 / anti-vibration

Fleets, public transport, rolling logistics

What to look for (and what to ignore) on the datasheet

What matters: real IP rating (not “splash-resistant”), drop height in meters onto concrete, battery life under intensive use (not in stand-by), open SDK, FOTA, warranty and spare parts stock in your country.

What is overrated: the number of processor cores, the exact version of Gorilla Glass and the megapixels of the rear camera. A professional terminal does not need more than 13 MP on the camera; what it needs is reliability for 3 years.

How to avoid the 5 most common mistakes

Buying by catalog instead of by use case. A terminal for cold logistics is not the same as for mobile retail.

Ignore integration with ERP/WMS. Closed SDK = eternal dependence on the manufacturer for any changes.

Do not budget for additional hot-swap batteries. Without a second battery, a 12-hour operation stops.

Choosing IP65 when IP67 is needed. Water jets and momentary immersion are not the same.

Failure to validate ergonomics with gloves. Screen that does not respond to work gloves = returns per month.

Frequently asked questions about industrial ruggedized terminals

What is the difference between IP65 and IP67 in an industrial terminal?

IP65 protects against total dust and water jets (valid for standard warehouse). IP67 adds resistance to brief immersion (1 m for 30 min), therefore it is mandatory on construction sites, outdoors with heavy rain and cold rooms with condensation.

How long does the battery last on average under intensive use?

Between 10 and 14 hours of continuous use in models with hot-swap (RD 60, RD 70, RD 71, RD 72, RD 75). Tablets (RD 80, RD 100) last around 8-10 hours. We always recommend two batteries per device to cover long shifts without interruption.

Do they work with my ERP or management software?

Yes. The Qualica-RD range works on Android with an open SDK and supports HID (keyboard mode), OPOS, COM emulation and native APIs. It is compatible with SAP, Oracle WMS, Manhattan, Bluetensor, Compact and any custom development via REST API.

Do I need technical support in Spain?

It is essential. Qualica-RD offers direct support, official warranty, and spare parts stock from Spain, with repair SLA and equipment loan. Avoid models whose warranty depends on shipments from Asia.

And data security?

Qualica-RD terminals support Android Enterprise, disk encryption, remote MDM (wipe/lock in case of theft) and, in models with SAM modules (RD 71), can store secure credentials for digital signature or corporate identities.

Next step

If you are considering a ruggedized terminal for your operation, at Qualica-RD we prepare a personalized report based on your use case (volume, type of code, physical environment, integration with your software). Request it without obligation and we will send you a technical and economic proposal within 24-48 hours.

In this article, we will analyze in depth the differences between RFID cards, NFC, and magnetic stripe cards, three technologies that have transformed the way people and organizations make payments, control access, authenticate identities, and manage information. Understanding their particularities is essential for making strategic decisions, whether in a corporate, institutional, or mass consumer environment.

From its use in public transport and loyalty programs in retail, to advanced logistics and inventory control, these technologies offer solutions with different ranges, speeds, security levels, and costs. Throughout this guide, we will not only explore their technical operation, but we will also look at real applications, advantages, limitations, and future perspectives, so you can determine which option is most suitable according to your needs and objectives.

RFID Cards: Radio Frequency Identification

The RFID (Radio Frequency Identification) technology enables the automatic identification of objects, people, or animals through the use of radio waves. An RFID card integrates an electronic chip and an antenna that communicates with a reader without the need for direct physical contact. Depending on the frequency used —low (LF), high (HF), or ultra-high (UHF)— the reading range can vary from a few centimeters to over 100 meters.

This type of cards is used in access control systems for buildings, warehouse management, asset tracking in the supply chain, traceability in logistics, and in the Internet of Things (IoT). Additionally, they can be programmed to store different types of data, making them a versatile solution for companies seeking automation and efficiency in their processes.

NFC Cards: Short-range Communication

The NFC (Near Field Communication) technology is, in essence, an evolution of high-frequency RFID. It operates exclusively at a frequency of 13.56 MHz and is designed to work at very short distances, typically less than 10 cm. One of its main features is that it allows bidirectional communication, meaning that both the card and the reader can send and receive data.

This type of cards has become popular in contactless payments, access control with digital credentials, identification at events, and information transfer between devices, especially smartphones. Its short range provides an additional level of security, as it reduces the risk of unauthorized readings, and its ease of use makes it ideal for high-traffic environments where speed and reliability are required.

Magnetic stripe cards: the traditional technology

Magnetic stripe cards were a revolution in their time and are still widely used. They work thanks to a magnetic stripe on the back, where encoded information is stored that a reader interprets when sliding the card. This system, invented in the 1960s, has been the standard for decades in bank cards, identification cards, transport tickets, and loyalty programs.

Its main advantage is the low production cost and the universality of the readers. However, it has disadvantages such as lower durability —due to physical wear— and lower security, as information can be easily copied using devices known as “skimmers”. Nevertheless, it remains an economical solution for low-risk environments or as a backup for more modern systems.

Practical applications of each technology

RFID: automated inventories, industrial access control, real-time tracking of goods, vehicle identification, food traceability, and asset management in hospitals.

NFC: mobile payments in stores, digital tickets for events, contactless transport cards, employee identification via smartphone, access control in hotels and offices.

Magnetic stripe: traditional bank cards, university IDs, temporary transport passes, loyalty cards, and credentials in low-risk environments.

General advantages and disadvantages

RFID cards stand out for their versatility and long-range reading capability, allowing for the management of large volumes of information without the need for physical contact. However, their cost may be higher, and it is important to protect them against unauthorized readings.

NFC cards offer the best combination of security and ease of use, making them ideal for environments where physical proximity is part of the security protocol. Their limitation is the range, which, while providing security, prevents their use in certain logistics applications.

Magnetic stripe cards are still useful due to their low cost and universal compatibility, but they are not recommended for applications where security and durability are critical.

Trends and future of these technologies

The market is moving towards hybrid solutions that combine NFC, RFID, and EMV chip in a single card, allowing it to be used for both contactless payments and ATMs or access systems. Likewise, mobile credentials integrated into smartphones are gaining ground, progressively replacing physical cards.

In the business sector, RFID will remain the key technology for asset tracking and monitoring, while NFC will maintain its dominant position in the payments and personal access sector. Magnetic stripe, for its part, will continue to decline, being reserved for specific cases where cost is the deciding factor.

Frequently Asked Questions about the differences between RFID, NFC, and magnetic stripe cards

Below you will find a selection of the most common questions that users tend to ask when researching the differences between RFID, NFC, and magnetic stripe cards. These answers will help you clarify quick doubts and better understand which technology fits each case.

Which card is the most secure among RFID, NFC, and magnetic stripe?

In general terms, NFC technology offers greater security due to its limited range and the implementation of advanced encryption protocols. RFID can also be very secure if chips with authentication and encryption, such as MIFARE DESFire, are used. The magnetic stripe, on the other hand, is the most vulnerable, as its information can be easily cloned with low-cost devices.

Can I replace a magnetic stripe card with an NFC or RFID?

Yes, it is possible, but it will depend on the system and the reader used. Many modern access control or payment systems already accept RFID or NFC cards as an alternative to magnetic stripe cards. However, in environments where only magnetic readers are available, it will be necessary to upgrade the hardware to adopt these more secure and durable technologies.

What is the main difference in use between RFID and NFC?

The key difference lies in the range and type of communication. RFID can operate at greater distances (even meters) and typically transmits information in one direction. NFC, on the other hand, is designed for very short distances and allows bidirectional communication, making it ideal for mobile payments, data exchange, and secure access.

The differences between RFID, NFC, and magnetic stripe cards are clear and decisive when choosing the right technology. The decision should be based on factors such as the required range, the level of security, the available budget, and the desired user experience.

Understanding in depth how an RFID card access system works is a key factor in ensuring security and control across a wide variety of environments. From large corporations and government centers to residential complexes, educational institutions, hospitals, or industrial facilities, this type of access control has become an indispensable tool for managing entries and exits efficiently. RFID technology, based on radio frequency identification, makes it possible to verify a person’s identity without physical contact, offering a fast, reliable method that is resistant to the wear and tear of older systems such as mechanical keys or magnetic stripe cards. This article not only presents a detailed, clear, and structured explanation of how these systems work internally, but also delves into their competitive advantages, current trends, the essential components that make them up, and a technical comparison with other access solutions. The goal is to provide a comprehensive guide that helps professionals, administrators, and security managers make informed decisions when implementing or improving their access infrastructure.

What is an RFID card access system?

An RFID (Radio Frequency Identification) card access system is a technological solution that authorizes entries or access through a card or tag that communicates via radio frequency with a reader. When the user brings the card close to the reader, an exchange of information takes place that verifies permissions and, if authorized, grants access.

Essential components of the system

RFID card (tag): contains a chip and antenna, and can be active (with battery) or passive (without battery, powered by induction from the reader).

RFID reader: device that emits radio waves to activate the card and read its data.

Controller or central unit: manages access, processes data, and receives authorizations.

Doors or opening mechanisms: electromagnetic locks, turnstiles, barriers, etc., activated after validation.

These components make up an efficient and scalable access control system.

How does it work step by step?

A user brings their RFID card close to the reader.

The reader emits an electromagnetic signal that powers (in the case of passive tags) or communicates with (in the case of active ones) the card.

The card responds by sending its unique identifier via backscatter or active transmission.

The reader receives the information and sends it to the central controller.

The system verifies whether the user is authorized to access.

If authorized, the opening mechanism is activated; if not, access is denied.

Technologies behind RFID

The system uses several key technologies:

Electromagnetic induction: powers passive tags through the reader’s field.

Backscatter: technique in which the card reflects the reader’s signal to transmit its information.

Modulation and data encoding: such as ASK (Amplitude Shift Keying) or FSK (Frequency Shift Keying), to transfer data efficiently.

Security: authentication, encryption, and error detection protocols are integrated to protect data.

Types of RFID cards

Passive: no battery, more economical, ideal for common access control.

Active: have a battery, greater range and storage capacity, used in large environments or where greater distance is required.

Importance of knowing how it works

Understanding how an RFID card access system works is key for several reasons:

It allows choosing the right technology depending on the environment and level of security required.

It provides the basis for properly securing and maintaining the system.

It provides transparency and confidence to users and system administrators.

Types of card readers

One of the most common types of readers is the one that uses magnetic cards. These devices work through a magnetic stripe that stores information on three tracks. When the card is swiped through the reader, the information is read, allowing access to certain areas. The simplicity of their use and their relatively low cost make them a popular option for many companies, although their durability can be a factor to consider, since the magnetic stripe can wear out over time.

Another alternative that has gained popularity is RFID readers (Radio Frequency Identification). This type of device uses radio waves to communicate with cards or tags that can be at a short distance, providing greater convenience by eliminating the need for physical contact. RFID technology offers an advanced level of security, since it is difficult to duplicate and allows faster scanning. The variety in types of RFID tags also allows their use in different applications, from inventory control to attendance systems at events.

In the realm of proximity, proximity card readers offer an ideal solution for fast access. These devices detect the card signal when it is at a short distance, facilitating smooth and agile entry. They are generally used in corporate and high-security environments, since they allow frictionless access control, minimizing queues and improving the user experience. The versatility of this technology allows its integration into various security systems, providing effective options for contemporary needs.

Biometric readers, although not card readers in the traditional sense, are also part of the access control ecosystem. By using unique physical characteristics of each individual, such as fingerprints or facial recognition, they offer an exceptional level of security. Their use has been increasing in contexts where it is critical to ensure accurate identification of people. This fusion of technologies demonstrates how innovation is transforming the field of access control.

Magnetic card reader

Magnetic card readers are reliable devices widely used in various access control applications. They work by reading the information stored on the magnetic stripe of a card, which can contain data such as usernames, IDs, and access permissions. This card format has been popular for decades due to its simplicity and ease of implementation, making magnetic readers a common option in business and commercial environments.

Despite their effectiveness, these readers have some limitations. The durability of magnetic cards can be affected by wear and frequent use, which can result in misreads or access failures. Sometimes, even contact with magnets or household appliance sources can demagnetize a card. However, for many businesses, these issues are not significant, since cards can be easily replicated and the replacement cost is usually low.

The installation of a magnetic card reader is relatively simple and does not require complex technologies. By connecting the device to a centralized system, access can be managed in real time and a record of all transactions can be kept. This allows companies to monitor and control the entries and exits of staff and visitors, improving security and facility management. The records obtained can be crucial for audits and access reviews at any time.

In addition to their use in access control, magnetic card readers also find applications in payment systems, time and attendance management. This type of versatility has contributed to their popularity in shops and offices, where efficient management of access and information is essential. In a world where security is a priority, magnetic readers remain a practical and effective solution for managing the movement of people in various facilities.

RFID card reader

RFID (Radio Frequency Identification) technology has revolutionized the way access is managed in various environments. An RFID card reader uses radio waves to identify and communicate with cards or tags that, unlike magnetic ones, do not require physical contact to be read. This feature provides a smoother user experience, eliminating queues and reducing waiting time at facility entrances.

One of the main advantages of RFID systems lies in their high security. RFID cards are difficult to replicate, making them a more robust option against fraud. By using radio frequencies, readers can capture signals from multiple cards at once, facilitating access control at mass events or places with high foot traffic. This ease of managing multiple simultaneous accesses makes RFID technology ideal for a variety of applications, from educational institutions to large corporations.

In terms of installation and configuration, these readers are usually compatible with existing access management systems, which simplifies their implementation. The data collected can be stored and analyzed, offering administrators valuable information about people traffic and user behavior. This type of analysis can help optimize the use of facilities and improve security strategies, adapting them to the specific needs of each organization.

The versatility of RFID is not limited to access control. It is also used in inventory management, equipment monitoring, and asset tracking. Real-time identification capability provides companies with a significant competitive advantage by enabling more efficient management of their resources. By integrating advanced technologies such as RFID readers into their operations, organizations can achieve new levels of efficiency and security in their daily management.

Proximity card reader
